The Basics
When you first registered for GST, you submitted a set of details: your business name, address, contact information, bank account, and so on. Over time, things change. You move offices. You bring in a new business partner. Your mobile number changes. The bank account you used closes.
A GST amendment is the formal process of updating those details on the GST portal to match your current situation. It's not optional. Under CGST Rule 19, any change in your registered details must be reported within 15 days. Most businesses don't know that deadline exists until they get a notice.
The other reason amendments matter: if your GST registration shows the wrong address, your invoices are non-compliant. Your clients can't claim input tax credit on those purchases. That's a direct problem for your business relationships, not just a paperwork issue.
Two Types
Not all GST amendments work the same way.
The practical difference: if you're just changing your mobile number, it's done in minutes. If you're adding a new director or moving your registered office, plan for about a week — and make sure your documents are in order before you apply.
Common Scenarios
Pretty much anyone whose business situation has changed since they first registered. Here are the common scenarios:
Moved to new premises? You can't issue GST-compliant invoices from that address until the amendment is approved. This catches a lot of businesses off guard, especially those that move quickly and start operations before updating the portal.
Adding a new partner to a firm, removing an old one, or changing your authorized signatory all require a core field amendment with supporting documents.
This one's simple but often delayed because people don't think it needs formal updating. It does — OTPs for portal access, notices from the department, and refund confirmations all go to your registered contact details.
GST refunds get credited to the bank account on file. If that account has changed and you haven't updated the portal, your refund goes somewhere you may not have access to anymore.
If you've rebranded or restructured, or if the company's legal name has changed through MCA filings, the GST registration needs to reflect that.
Wrong HSN code, wrong address, wrong business category — these happen during the rush of initial registration. A correction amendment is how you fix them.
Paperwork
What you need depends on which amendment you're filing.
One thing that trips people up: the portal has strict formatting requirements. Every document must be in PDF, and each file must be under 1 MB. Uploading a photo of a document that's 3 MB won't work — and the error message from the portal isn't always helpful in explaining why.
Verification
How you sign your amendment application depends on your business type.
Mandatory for companies and LLPs. If your DSC has expired, sort that out before starting the amendment process — an expired DSC will cause the application to fail at submission.
Used by proprietorships and individuals. It's a one-time OTP sent to the mobile number linked to your PAN. Simpler than DSC, but your PAN-linked mobile must be active and accessible.
Risk
The 15-day window under CGST Rule 19 is a legal requirement, not a suggestion. Businesses that don't update their registration when details change run into several problems.
The compliance issue is the obvious one — operating with incorrect registration details can attract penalty proceedings under the CGST Act. In cases where the mismatch looks deliberate, the consequences are more serious.
The practical issues are often worse. A wrong address means your invoices don't match the portal, which means your buyers face ITC complications. A wrong bank account means refunds disappear. Wrong contact details mean you miss notices from the department, and GST notices have short response windows. Missing those deadlines creates problems that are much harder to resolve than the original amendment would have been.
